How to Organize a Church Concert

When you organize a concert at a church, it is more involved than setting a date and confirming the performers. Holding a concert at any venue, including a church, requires promotion, marketing, advertising, printing and selling tickets, and signing on staff and volunteers. If you start early, keep a checklist and make sure everyone knows his role come concert night, you should be able to sit back and enjoy beautiful music.

      Book the artist and sign a contract, should the performer come from outside the congregation. Do this before proceeding with anything else. Contact other area churches and concert venues to ensure no similar events already are on another venue's schedule. If your church choir will headline the concert, inform the members of the date well in advance.

      Start your advertising campaign three months in advance if you anticipate your artist will bring in a large crowd. Make arrangements to sell tickets at local Christian bookstores. List the event on your church website and in the bulletin; state where to buy tickets and the cost. Print posters and distribute them to Christian bookstores.

      Hire staff or recruit volunteers from the congregation to help set up for the concert, work during the concert and clean up afterward. You will need people to serve as ushers, take tickets, help to set up instruments or work the lights. Get your staff commitments about six weeks in advance.

      Advertise on Christian radio, beginning a month in advance, as your budget allows. Offer free tickets to radio stations to give away on the air to help spread word of the concert. Distribute announcements to local media for their calendars; offer interviews with the performer to feature or religion editors. Hang posters around town and ask local churches to hang them in their offices; ask them to put the concert on their calendars.

      Ask your pastor to remind the congregation during each service beginning a few weeks ahead of the concert.

      Arrive at the church early on the day of the concert; ask the staff and the volunteers to do the same. Run through a sound and lighting check to make sure those are functioning properly. Set up tables if you are going to sell merchandise or food. Arrange any food or drinks you will serve to the performers. Put out a guest book and ask those who attend to put their name and email address. That way, you can market future concerts via email.
