Outline the concept and framework of the exhibition. Go straight to the point. If the exhibition is inspired by political or historical events or theories, explain them here. Include theoretical references.
Explain why the exhibition is relevant. Relate to the history of the venue and previous exhibition. Describe the benefit the organization will gain from the exhibit. Give details of the location.
Describe the works you will display. Give the number of artists, their names and locations. If an artist is coming from a different country, for example, you will have to arrange the accommodations. State whether the works are newly commissioned, existing works or a mix of both. Show images of works by using slides on a DVD.
Show what will be displayed. This section should outline what kind of artwork you would show -- for example, video screens, sculptures, photos or paintings. Give the size and material of the pieces. Explain how the venue would be organized, in terms of seating and exhibition.
Describe your expected target audience and any arrangements that may be needed. Suggest how the exhibition will target a certain audience, and how it will appeal to audiences outside your target as well. Give examples of types of displays and programs that may be offered to appeal to a wide range of audiences.
Dedicate a section to suggest any speaker who might talk before or during the exhibition. If this is the case, list the education programs that relate to the exhibition.
Write everything you need to prepare the exhibition and the time line of the exhibit's organization. Start by listing the material you need to present the work, such as equipment, displays, lighting, etc. Describe any other resources needed, such as staff, research, assistance, permissions and artists. Provide a time line for planning, production time, installation and breakdown. Mention any partner who might help to carry on the exhibition.
Outline the economic issues. In the budget section, list all expenses, including artists, speakers, technology, evaluation, carpenter, installation, framing and equipment. You might mention how you plan to be fund your exhibition. Divide this section into potential and secured funds, and specify the source of the money. Outline tailored marketing ideas, as these would be helpful if the exhibition has a specific target or particular subject.
